
Step-by-step: Get a headcount for an event
Go to Contacts.
Open Advanced Filters.
Filter by Tag and search for the event tag (example: Easter Egg Hunt).
Run/apply the filter to pull up everyone with that tag.
Choose to manage/customize the visible columns/fields in the contact results (hide fields you don’t need like email, business name, created date; keep helpful ones like phone).
Find the event-related fields (often under Form, sometimes Additional Info, or another custom folder) and select the columns you want to count (e.g., RSVP/attendance options).
Click Apply to update the results grid with the selected fields.
Save the filtered view as a Smart List (name it something you’ll recognize).
In the Smart List, click the checkbox to select all contacts.
Confirm selecting all contacts in the list (not just the ones visible on the current page).
Click Export to export the selected contacts to a CSV.
Go to Bulk Actions (often shown under Statistics) to find the export job.
Click the download icon/button next to the export to download the CSV to your computer.
Open the downloaded CSV in Excel.
In Excel, scroll to the bottom of each attendance/registration column and use SUM to total that column.
Drag the SUM formula across to total the other attendance/registration columns as well.
Use the totals to report how many are registered/planning to attend in each category.
